February 11/12, 2009 - Bi-Weekly Conference Call Meeting Minutes
1) Cost allocations
-Aside from South Africa, estimates are baseline costing based on sketch to get preliminary numbers for each center.
-Some estimates do not have detailed line items (i.e. landscaping and signage) >
-As each project progresses, a more detailed estimate can be done. Depending on the site, we will have to evaluate each component of the project and make the necessary adjustments (i.e. adjust size, evaluate building materials)
-South Africa/Khayelitsha summary more detailed because we are farther along in the design process and able to get more detailed estimate
-Cost allocations and estimates will be re-evaluated when detailed estimates are received for each project and during the tendering process (based on Contractor pricing)
2) Schematic Design Package Approval
-Packaged Submissions will be send at Pre-Design, Schematic Design, Design Development, Technical Development. Each package will have a sign-off form and will follow the approval schedule.
-Schematic Design package for South Africa is more detailed then typical due to the requirements of the council.
-Included in this package are SDP drawings previously reviewed by the team.
-Schematic Design approval due by February 16, 2009. Jan, representing sfw and the centres, to email or fax signed approval to AfH San Francisco Office (Kate and Kimberley)
-Next approval submission to be Design Development package currently listed as February 16th. AfH to confirm this date with arG.
3) Khayelitsha
-Construction Drawings to be submitted for compliance check on Friday, February 13, 2009.
-Contracting: Ideally, AfH would prefer the Centre Host, as legal entity in the host country, to contract with the Contractor. Paola noted that this has not been discussed with the centres. For Grassroot Soccer, she noted they would be hesitant to take on this liability do to other lawsuits that have recently arisen.
-City of Cape Town might require a South African entity to contract with Contractor. Eugene has asked the City of Cape Town for a confirmation. If allowed, AfH will contract.
4) Preperation of Site Visits
- Mali Architect and engineer search: Oana contacted several Mali architects. AfH reaching out to network to find additional architect. Also, AfH contacting local engineers who would work with
- Kenya - Feedback on objectives
5) Overall Timeline
<-Kimberley will coordinate the project schedules and issue and revise at project intervals (i.e. major approval deadlines, tendering)
